Most companies adopted AI tools faster than they developed policies for using them. The result: inconsistent usage, undisclosed dependency, data security risks, and a growing gap between employee performance with AI and without it. A clear policy addresses all of these concerns.
Acceptable use guidelines
Define which AI tools are approved for workplace use. Specify which data categories may and may not be shared with AI systems. Establish that AI-generated work should be reviewed and verified by the employee before submission. Require disclosure when AI has substantially contributed to deliverables that will be attributed to the employee.
Capability preservation requirements
Require employees to maintain the ability to perform core job functions without AI assistance. Include AI-free components in performance evaluations. Ensure training programs develop human capabilities alongside AI proficiency. This prevents the organization from becoming entirely dependent on tools it doesn't control.
Data and confidentiality
Prohibit sharing proprietary information, client data, trade secrets, or confidential business information with external AI tools. Establish approved AI platforms that meet the company's security requirements. Require employees to review AI outputs for accuracy before using them in official communications or decisions.
Wellness considerations
Acknowledge that AI overuse can affect employee wellbeing and cognitive independence. Provide resources for employees who feel their AI use has become excessive. Include AI dependency awareness in wellness programs. Encourage AI-free periods to maintain independent thinking skills.
